How booking works

This is the “so we’re both clear” bit. It’s not small print, just the stuff that helps everything run smoothly.

The booking form is our plan


Your booking form holds the key details: date, venue address, start and finish times, how much DJ time you want, any planned pauses (if any), and the general music style.
If anything changes, tell me as soon as you can. Some changes are fine. Some mean I need to re-quote.

What counts as a meaningful change (clear examples)
A meaningful change is anything that changes the time, travel, setup effort, or the overall job.


That includes:

  • Venue changes to a different place, or even a different room with harder access

  • Travel time changes a lot, for example, a venue change that turns it into a much longer drive

  • Start time changes by more than 30 minutes either way

  • Finish time changes by more than 15 minutes later than booked

  • More DJ time, for example, you booked 3 hours and now want 4 (or more)

  • Harder setup than described, for example: 

    • Stairs involved

    • A long carry from car to setup (more than about 30 metres)

    • No nearby loading or parking, and no workable alternative

  • Power isn’t usable, for example:

    • No socket within reach

    • Socket keeps tripping

    • Power is unsafe or unreliable

 

If any of the above happens, I’ll tell you what changes and what it costs before we lock it in.

Holding the date + payments

  • I’ll hold the date for 48 hours

  • To secure it, I need 50% within those 48 hours

  • The remaining 50% is due 7 days before the event

  • If the balance isn’t paid by then, the booking isn’t fully secured, and I may treat it as cancelled

What you’re actually booking
You’re booking me. I’m a one-person setup, and that’s the point.
You always get the original and only Funky Booth DJ, not a stand-in.​​

Venue permission and venue rules
It’s your responsibility to make sure the venue allows a DJ, music, lights, and your planned timings.
If the venue has rules (sound limiter, hard stop, where I can set up, when I can get in), tell me in advance. If the venue changes the rules on the day, I’ll adapt, but it can affect what’s possible.

 

Access, setup and power (what I need from you)
I’m fit, but the gear is heavy. Please make sure:

  • There’s reasonable access for loading in

  • It’s not up flights of stairs (or tell me up front so we can plan it)

  • Parking or loading is close enough to make it workable

  • I have one reliable power socket that’s safe and working

  • There’s a safe, dry space for the equipment

  • You have a contact person on the day

If the access or power isn’t workable on the day, I might not be able to set up safely.

 

Outdoor events (weather plan)
I’m happy to play outdoors, but the setup still needs to be safe. That means a dry, covered space for the gear and a safe power source.
If the weather or setup isn’t safe for people or equipment, I may need to pause or stop until it’s sorted.

Extra time

Going beyond what’s booked isn’t the norm, because I plan the music around the time we agree. If you think you’ll want longer, it’s best to tell me up front so it’s properly planned.

On the night, I can sometimes extend if the venue allows it and it’s doable for me. If I can, it’s £75 per extra hour, payable before the extra time starts.

 

Cancellation (clear and fair)
Once the booking payment is paid, the date is reserved for you, and that payment is non-refundable.
Then, depending on notice:

  • 28+ days before: no further payment due

  • 7 to 27 days before: you pay an extra 25% (so 75% total)

  • Less than 7 days before: the full fee is due

If I rebook the date, I’ll always be reasonable about reducing what’s owed.

If I can’t perform (rare, but real life happens)
If I can’t attend due to illness or a genuine emergency:

  • I’ll tell you as soon as I can

  • I’ll refund any money you’ve paid

  • If you want, I’ll help you find another DJ through my network (no promises on availability)

 

Stuff outside anyone’s control (the “real life” one)

If something major happens that’s outside anyone’s control (venue closure, power outage, extreme weather, road closures, emergency restrictions, that sort of thing) and it stops the event from going ahead as planned, we’ll be reasonable and work out the fairest solution we can.

Venue sound limits and noise restrictions
Some venues have sound limiters, strict volume rules, or neighbours. I’ll work within those limits. If the venue or authorities require a reduction in volume, I’ll comply. That doesn’t count as “not performing”.

Safety and behaviour (friendly, realistic)
Look, most parties get lively. That’s what we usually want. What I do need is a basic level of safety for me and the equipment:

  • Nobody is threatening or getting aggressive

  • Nobody is grabbing equipment, cables, stands, or speakers

  • Drinks and food kept away from the gear (the tools of my trade)

 

If things get unsafe, I’ll speak to your contact person first and give you a chance to calm it down. If it stays unsafe, I may need to pause the music until it’s sorted. If it can’t be sorted, I may have to stop.

 

Damage to equipment
If my equipment is damaged by guests or the venue, you’re responsible for repair or replacement. Because I may have another gig soon after, any agreed costs must be paid within 48 hours of me sending evidence and a repair quote or invoice.

 

Equipment issues (rare, but it’s electronics)
I look after my kit, and I carry spares where it makes sense. If something fails that’s genuinely outside my control, I’ll fix it as fast as I can. If a refund is ever due because I can’t deliver the booking, it’s limited to the fee you paid.

Photos and video (default opt-in, with common sense)
By booking, you agree that I can use a small amount of photos or videos from the event for my socials or website. I won’t post anything embarrassing, unsafe, or that makes people look bad.
If you want to opt out, tell me in writing before the event, and I won’t film or post anything. You may also need to let guests know that short clips might be taken.

 

Music requests and “clean” music
I’ll do my best to work with your requests and your crowd. If you want clean (no explicit music), tell me, and I’ll aim for radio edits where possible, but I can’t guarantee every track is completely swear-free.

 

Travel, parking and access costs
Travel is priced by drive time from Bradford on Avon.
If you’re more than 60 minutes away, let’s chat first, and we’ll work it out.
If the venue requires paid parking, permits, tolls, unloading fees, or Clean Air Zone charges, those are payable by you (or reimbursed at cost).

Insurance + PAT testing + liability (the sensible bit)
I have £1m public liability insurance, and all equipment is PAT tested (proof available if the venue asks).

 

I’m responsible for what I do. I’m not responsible for indirect losses (for example, lost profits). Any liability is limited to the amount you paid for the booking, except where the law says it can’t be limited.
